A shared plan

AI helps each person understand where to start. Independent parts can move forward in parallel, respecting the required results, permissions and pending decisions.

How the work is divided

To prepare a quote, Anna can check the customer’s details while Marco prepares the workflow and Giulia drafts the proposal structure. The verified data then completes the final details.

Review the plan and request changes when needed. Sending messages and other actions follow the configured access and approvals.

Access by choice

Each person connects their own accounts. Choose which resources to share and with whom, keeping access to data and actions separate.

What you share with the team

Sharing a workflow or a result does not automatically open all your resources or the source conversation. Each resource follows its own access rules.

Context stays with the work

Follow the tasks you have received and assigned. Messages, contributions and results help colleagues continue from the right point.

How the work continues

Ask for a contribution in the task’s context, reviewing the recipient, message and destination before sending. You can also involve colleagues in the workflow and Marketing editors.

When a phase result is approved and shared, AI analyzes it in the conversations of colleagues who depend on that phase and prepares the context to continue.

Frequently asked questions.

AI workflows, collaboration with colleagues, access and plans: what to know before getting started.

What is ActaFlow?

ActaFlow is an AI workspace for businesses and teams. It brings together conversations, documents, connected tools and workflows. You can describe a process and review its steps before using it in your work.

Do I need a technical specialist to get started?

You can describe the process in chat and review its steps without writing code. You need to connect the required services and check the result; specific configurations may require further setup.

Can I choose which actions need approval?

Yes. You can configure automatic steps and steps that wait for approval. Preparing or reviewing a result does not authorize sending a message or changing data in a connected service.

How does AI help coordinate parallel work?

ActaFlow proposes a shared plan with steps, owners and expected results. After confirmation, AI guides contributions and helps prepare independent parts while colleagues work on theirs. Required results, permissions and approvals still need to be in place.

Does sharing a result also open my chat?

Sharing a result does not automatically open the source conversation. Results published in the shared context and conversations that are already shared follow their respective access rules. Connected accounts retain separate permissions.

How is data protected?

We use HTTPS, cloud-service encryption and access controls. Details about providers and data protection are available in the privacy policy.
