Workflows that follow the way you work.
Describe the process, add tools and documents and review the steps. Test the workflow, choose approvals and follow each run.
From the first message to the finished work.
Describe the process, connect tools and documents, and prepare an AI workflow without code. Review the steps, choose where approval is needed and follow execution through to the result.
Start in your own words.
Write or dictate the work to be done. AI prepares the workflow and asks for missing details.
- Speak or type
- Attach an example
- Clarify the rules in chat
Connect the tools you already use.
Connect the email, CRM and services needed for the process, using the required access.
- Your email inboxes
- The services you already use
- Guided connections
Give it the context to do the job well.
Add documents and connect the sources you need. The workflow uses the information it can access.
- Documents and price lists
- Connected sources
- The right context, when it matters
See the workflow. Stay in control.
Review the steps and request changes. At the steps configured for review, the workflow waits for your approval.
- Follow every step
- Request a change
- Choose approval steps
From a request to a quote. See it take shape.
Before activation, get the work ready.
A workflow becomes usable when it has the context and permissions it needs. Review them in the same space where you prepare it.
Add context
Attach a template, choose a source or connect the service a step needs. The workflow uses resources you can access.
Try it out
Ask for a sample test and review the result. Sending and changes on external services are simulated: the report distinguishes what was checked from what still needs testing.
Refine it in chat
Explain what you want to change and review the new proposal. The conversation and workflow stay part of the same automation.
Actions follow the rules you choose.
For each step, define what it can read or change and where your approval is required. The connected account and allowed actions remain visible within the workflow.
Explore permissions and approvalsStarts when your process needs it.
Choose how the work starts. Trigger configuration stays tied to your workflow’s tools and permissions.
- When you ask
- Start a run from your workflow and add the data or files needed for that job.
- At a scheduled time
- Configure a schedule for recurring processes. Review the setup before activating it.
- From a connected event
- Choose an event supported by the connected service, such as a new request. Availability and permissions depend on the integration.
The work moves on. You know where it stands.
Open a run to see the steps, results and requests waiting for a response. When you need to intervene, the conversation stays connected to that job.
Review a draft, add information or decide how to continue. Available options follow the run’s current state.
From the workflow to the next contribution.
Ask a colleague for help and share results with whoever continues the work. Your team keeps the context while each source retains its own access rules.

Do I have to draw every step from scratch?
Start in chat: describe the job, add any examples you have and answer the follow-up questions. ActaFlow prepares a proposed workflow for you to review. You can keep refining it within the same automation.
What should I check before activation?
Review the steps, connected accounts, documents and required approvals. Check the test results and fill in missing information. Activation follows checks on the current configuration.
How do approvals work?
At steps configured for approval, the run pauses and shows what needs reviewing. Decide how to continue from the run page. Connecting an account does not automatically authorize every available action.
Can I follow a run while it works?
The run page shows steps and their status, available results and requests for input. Use the conversation in the context of that run and review the decisions it needs.
What happens when information is missing or a step gets stuck?
The run shows where attention is needed. Add information or review the requested decision. Depending on the workflow state, you can resume or retry; an action already performed on an external service needs a separate assessment.
Can I involve a colleague?
Request a contribution and share work according to workspace access. Workflow, knowledge and connected account permissions remain separate. The Team page explains shared plans and task assignment.
