What is ActaFlow?
ActaFlow is an AI workspace for businesses and teams. It brings together conversations, documents, connected tools and workflows. You can describe a process and review its steps before using it in your work.
Do I need a technical specialist to get started?
You can describe the process in chat and review its steps without writing code. You need to connect the required services and check the result; specific configurations may require further setup.
Does ActaFlow replace my CRM?
No. It works on top of what you already use: it prepares the data and syncs it to HubSpot, Salesforce, Zoho, or a custom CRM.
How many services can I connect?
Free: 2 connected accounts. Plus: 10 connected accounts. Professional: 30 connected accounts, with custom CRM support. Business: 60 connected accounts. The limit is shared across email, CRM and other services. Two accounts on the same service count as two.
Can I connect a CRM that's not on the list?
Yes, from the Professional plan upwards: the custom connector is specifically for CRMs that aren't HubSpot, Salesforce, or Zoho.
What are documents and live sources for?
Documents and sources give automations context: contracts, price lists and procedures help ActaFlow follow your method. Dynamic sources keep information up to date and are available from the Plus plan.
What does the free plan include?
Free includes 3 users, 2 connected accounts, 1 saved automation and a small monthly AI allowance to get started. Collaboration with other users is available from Free.
Do I need a credit card to get started?
No. You can sign up and use Free without a card. A card is needed for a paid plan, Marketing or a balance top-up.
Can I change plans or cancel whenever I want?
Yes. Upgrades take effect immediately. Downgrades and cancellations take effect at the end of the already paid period, with no penalties. The Free plan never expires.
Can I choose which actions need approval?
Yes. You can configure automatic steps and steps that wait for approval. Preparing or reviewing a result does not authorize sending a message or changing data in a connected service.
What happens if a document or piece of data is missing?
ActaFlow flags the issue and prepares the follow-up on the record. You approve and send, without having to rebuild everything by hand.
Which plans include team collaboration?
Free includes 3 users in total. Plus includes 5 users in total. Professional includes 10 users in total. Business includes 20 users in total. The workspace owner counts towards the total. Team plans include roles and permissions. The audit trail is included in Business.
How is data protected?
We use HTTPS, cloud-service encryption and access controls. Details about providers and data protection are available in the privacy policy.
How long does it take to get started?
Basic setup takes just a few minutes. You connect the channels, add the collection, and describe your first automation.
How does AI capacity work?
AI capacity is shared by all workspace members. There are no separate message or execution quotas: usage depends on actual processing. Availability renews monthly on your subscription date; Free renews on the first day of the month (UTC). You can check workspace usage in your subscription and member usage on the Team page.
How much does Marketing cost?
Marketing is included in Business with one advertising account. On Free, Plus and Professional, each account costs €10 per month. On Business, each account after the first costs €10 per month. The amount is shown before activation. Native Marketing AI uses the plan’s AI capacity. Contact discovery, email verification, advertising and media purchased from external providers use the Marketing balance: costs are shown before confirmation.
Which activities use AI capacity?
Chat, runs and creating or editing automations use the same AI capacity. Document analysis, Knowledge and native Marketing AI are included too. Usage follows actual processing: more complex models and analysis use more capacity.
